How IntraPod works

From staffing question to committed team.

  1. Bring your data together

Add Projects, Resources, Skills, Capacity and existing workload.

  2. Compare the options

Review Recommendations with Skills evidence, match percentages and workload warnings.

  3. Build a Pod

Choose the people you want to propose for the work.

  4. Review and approve

Let authorized reviewers assess the staffing plan.

  5. Commit and follow through

Create Allocations, track changes and learn from the results.

Explainable Recommendations

A shortlist with the reasons attached.

The Recommendation Engine evaluates Project requirements, Skills, Capacity, workload and other authorized staffing evidence. Match percentages, supporting evidence and warnings help you compare the options.

Authorized users can select a different Resource, leave a role unfilled or make a Manual Override. The reason and original Recommendation evidence remain part of the decision history.

Start from the Dashboard

Needs Attention brings staffing gaps, pending Approvals and upcoming commitments into focus. Open the relevant record to understand what needs a decision, or ask Insighter to help explain the picture.

Keep the work in context

Projects bring dates, staffing needs and current assignments together. Resource views connect identity, Skills, Capacity and concurrent Projects.

From recommendation to commitment

A clear place for every decision.

A Pod is the proposed team. Approval is the human review. An Allocation is the staffing commitment.

Step 1 of 4

Compare the candidates

Review match percentages, Skills evidence, Capacity and workload warnings. Choose the Resource that fits the work.

How the decision moves forward

Your judgment leads

An authorized user can choose another candidate or record a Manual Override with a reason.

Capacity & external workload

See the time behind the team.

Distinguish working Capacity from IntraPod Allocations and External Commitments: work already committed in other systems. Account for effective dates and gaps in coverage when considering what remains.

Track concurrent Projects separately from hours. Configure staffing policies for your organization, roles or individual Resources so the recommendation reflects how your team works.

External Commitment changes keep their source and history visible. Missing Capacity is flagged rather than treated as free time.

A simple weekly exampleKnow what is still available.
Weekly Capacity
40 hours
IntraPod Allocations
−12 hours
Work committed elsewhere
−8 hours
Remaining Capacity
20 hours/week

Illustrative values, not customer data. Actual availability depends on the dates and coverage of your records.

Operational Reporting

Follow the decision.
Understand the outcome.

Review Capacity and utilization, staffing demand and historical patterns. Compare recommended and selected Resources, see Manual Overrides and Approval outcomes, and understand Allocation changes.

Follow the numbers into the Project or Resource behind them. Export Reporting and Forecast views to Excel when the conversation needs to move beyond the application.

The questions behind the report

  • Where did staffing demand exceed Capacity?
  • When did managers choose a different Resource?
  • Which Approvals are still outstanding?
  • How have committed hours changed?

Forecasting & What-If Scenarios

Plan ahead with the facts you have.

View three-, six- or twelve-month forecasts, starting with six months. See known demand, remaining Capacity, limiting roles and the earliest shortages in the plan.

Forecast from known commitments

Forecasts calculate the effect of your recorded Capacity and workload over time. They show constraints and coverage, with assumptions you can inspect.

Try the next staffing question

“What if new work needs three Network Engineers and two Project Managers?” Set people needed and hours per person per week for each role, then see the Capacity impact and role shortages.

Adjust or remove roles and recalculate. What-If Scenarios leave actual staffing unchanged until your team takes a staffing action.

Meet Insighter

Ask a staffing question.
Get closer to the answer.

A conversational way to understand what is happening across your staffing operation.

Insighter draws on the IntraPod data you are allowed to see, links back to supporting records and makes data freshness and limitations visible. It is read-only: your people make the changes.

Questions you can bring

“Which Projects need staffing attention?”
“Why does this Resource have only 10 hours available?”
“Which roles may become constrained over the next six months?”
“What is waiting for Approval?”
“What changed in our staffing over the last 90 days?”

Integration API

Your project system tracks the work. IntraPod helps determine who should do it.

Bring approved Projects, Resources, Skills, Capacity and external workload from your existing systems through IntraPod's integration API. Choose the data your organization wants to share.

Access is scoped to your organization and the permitted data. Staffing commitments still follow the Recommendation, Pod, Approval and Allocation workflow in IntraPod.

Data connections are reviewed with you for fit and availability. Request a Demo to discuss your systems and the work involved.
